Responsibilities
Household and Staff Management
• Serve as supervisor and primary point of contact for household staff and daily operations.
• Work closely with the housekeeper to ensure household standards are consistently met, serving as her primary communication bridge to the principals.
• Participate in the hiring process for future household staff.
Home Operations & Maintenance
• Proactively manage an annual home maintenance calendar, including seasonal services, preventative care, and project oversight.
• Coordinate all service providers and vendors.
• Develop and maintain household manuals for appliances, systems, lighting fixtures, upholstery, and home care protocols.
Calendar & Administrative Management
• Manage the family's calendars across Apple and Google platforms, including appointment scheduling, invitations, and overlapping logistics.
• Manage all school-related systems, including dismissal portals, lunch accounts, and school communications (this includes registrations and submission of school forms).
• Manage the shared family email account and household correspondence.
• Track household expenses, manage routine household bill payments, and submit and track insurance reimbursements.
Household Logistics & Organization
• Own and communicate afternoon logistics (daily from 3 to 5:30 pm) so the principal can complete the workday and then transition to being present with the children.
- Keep the household calm and organized during these high-activity hours.
• Maintain household inventory for the pantry, supplies, linens, and toiletries.
• Coordination of online grocery orders.
• Oversee the housekeeper’s preparation of the home for guests and family arrivals, ensuring a high standard of readiness and presentation.
Lifestyle & Travel Support
• Support the children's transition home from school between 3 and 4 pm, including assisting with afternoon driving for the 11 and 13-year-olds to and from activities and appointments.
• Manage returns, exchanges, and prescription delivery service.
• Assist with gifting, seasonal purchases, holiday cards, and occasional event support.
• Oversee the packing of the 2 youngest children for family travel.
• Coordinate boarding reservations for the dog during family travel (typically 5 weeks per year).
Qualifications
• 5+ years of experience managing household staff, vendor relationships, household organization, and logistics in a private residence.
• Self-starter who anticipates needs and takes initiative without waiting to be directed.
• Clear, professional communicator with principals, household staff, and service providers.
• Discreet and professional; you understand the nature of working in a private home.
• Highly organized with consistent attention to detail.
• Proficient in Apple and Google platforms; comfortable managing digital calendars, school portals, and household systems across devices.
• Valid driver's license and clean driving record.
• A non-smoker.
